School Administration System User Access Policy


  1. What is this policy about?
    1. This policy establishes the basis for controlling access to the Student Administration System (the System) and ensuring the incidence and impact of inappropriate access are minimised.
  2. Policy Statement
    1. All data held by the Education and Training Directorate (the Directorate) is of high quality and maintained securely at all times.
    2. Access to data is restricted to staff with a need to read, use or edit the data for business purposes.
    3. Access to the Student Administration System (the System) containing school and student data, is regularly reviewed to ensure that access is only available to staff with a business need.
  3. Who does this policy apply to?
    1. This policy applies to all staff with a need to read, use or edit System data.
  4. Context
    1. ACT public schools and persons giving an approved education course are required under the Education Act 2004 to maintain a register of enrolments and attendance.
    2. The System enables the Directorate to collect, record and maintain data to meet the requirements of the Act.
    3. The Directorate is responsible for maintaining the validity and integrity of the System.
  5. Responsibilities
    1. The school principal is responsible for implementing this policy in schools.
    2. Policy Owner: The Director, Planning and Performance is responsible for this policy.
  6. Monitoring and Review
    1. The Policy Owner monitors the policy. This includes an annual scan of operation and review. A full review of the policy will be conducted within a three year period.

    1. Definitions
      • Access: means the ability to access the system for the purposes of reading, using or editing data held by the System.
      • School Administration System: is the suite of core systems used by ACT public schools to support their main business functions including recording student enrolment and demographic details, attendance, timetabling, academic reporting and school finances.
    2. Legislation
      • The Education Act 2004 governs the recording and making information about, and being accountable for, the operation of public schools.
      • Information Privacy Act 2014 promotes the protection of individual privacy by regulating the handling and management of personal information by ACT public sector agencies.
